PRIVACY POLICY

1. Introduction

AKG Insurance Surveyor & Loss Assessors Pvt. Ltd. (“AKG”, “we”, “us”, or “our”) operates the AKG Surveyor mobile application (“App”). This Privacy Policy describes how we collect, use, store, protect, and share information about users of our App. This is an internal business application used exclusively by AKG’s own employees and authorised personnel — it is not available to, and does not knowingly collect information from, members of the general public.

By using this App, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the App immediately and contact your administrator.

2. Information We Collect

2.1 Personal Information

• Full name, employee email address, and employee ID

• Mobile number and role designation (Surveyor, Owner, Handler, Management, Admin)

• Login credentials (stored securely via token-based authentication)

2.2 Case, Survey & Billing Data

• Insurance case details including case reference numbers, insured names, policy numbers

• Survey dates, visit numbers, and site visit records

• Loss descriptions, loss addresses, and claim information

• Conveyance and expense details submitted per visit, including amounts, travel/DA/hotel/miscellaneous expense entries, and their approval status

• MIS and daily billing reports generated for Admin review (aggregated case, billing, and department data — visible to Admin only)

2.3 Location Data

Foreground location: GPS coordinates captured when a surveyor starts or ends a site visit, and when photos are taken during an active visit.

Background location: for Surveyor accounts, the App periodically records GPS location in the background (approximately every 15 minutes, or as configured by Admin/Management) while the surveyor is logged in and on duty, even when the App is closed or the device screen is off. This is used solely so Management/Admin can verify field coverage and surveyor safety during working hours. Background location is not collected for Owner, Handler, Management, or Admin accounts, and stops immediately on logout. A persistent notification is shown on the device at all times while background location tracking is active, as required by Android.

Device identifiers for push notification delivery, and IP address/session data for security purposes, are also collected.

2.4 Media & Files

• Photographs and videos uploaded as survey evidence (photos are automatically stamped with the case reference number before upload)

• Voice notes and audio recordings made during field visits

• Generated PDF and Excel reports (conveyance statements, MIS/billing reports)

3. How We Use Your Information

• Authenticate and authorise user access to the App

• Assign, manage, and track insurance survey cases

• Record and maintain accurate field survey documentation

• Process conveyance claims and expense approvals, and generate related reports

• Generate audit-compliant reports and internal billing/MIS summaries for insurance companies and internal review

• Track surveyor field location during working hours for coverage and safety oversight (background location, Surveyor accounts only, as described above)

• Send push notifications for case assignments and status updates

• Maintain an internal activity history log — every significant action (case assignment, conveyance submission/approval, conveyance deletion, uploads, visit start/end) is logged against the acting user’s name, role, and timestamp for audit and accountability purposes

• Monitor app performance and ensure system security

• Comply with legal, regulatory, and insurance industry requirements

4. App Permissions

Camera

Used to photograph survey sites, damaged assets, and supporting documents. Photos are automatically stamped with the case reference number and uploaded directly to secure AKG servers.

Photo / Media Library

Used to select and attach existing photos or videos from your device to survey cases, and to save generated PDF/Excel reports.

Location — Foreground & Background

Foreground location is used to record GPS coordinates when a surveyor starts or ends a site visit. For Surveyor accounts specifically, background location is also used to periodically record field location during working hours for coverage/safety oversight, as described in Section 2.3. Owner, Handler, Management, and Admin accounts do not use background location. You can disable location permissions at any time in your device settings, though this will prevent visit-based features and, for surveyors, field tracking from working correctly.

Storage / Files

Used to save generated PDF and Excel reports to device storage for sharing via email or other apps. No other files on your device are accessed.

Push Notifications

Used to deliver real-time alerts for new case assignments and status updates. Notifications can be disabled in device settings at any time.

Microphone

Used for recording voice notes during site visits. Recordings are attached to specific cases and uploaded to AKG servers.

5. Data Storage & Security

All data is stored on AKG’s secure servers hosted within India. We implement industry-standard security measures including:

• HTTPS/TLS encryption for all data transmission

• Token-based authentication (JWT) for API access

• Role-based access controls ensuring users only access data authorised for their role — for example, MIS/billing reports and the conveyance-deletion tool are restricted to Admin and Management accounts only

• Regular security reviews and server monitoring

• Data backups and disaster recovery procedures

Uploaded media files (photos, documents, videos) are stored securely and are accessible only to authorised AKG personnel and the assigned surveyor.

6. Data Sharing

We do not sell, rent, or trade your personal information. Data may be shared with:

• Insurance companies — case-specific survey data and reports as part of the survey engagement

• AKG management and authorised staff — for case oversight, billing/MIS review, and quality control

• Regulatory authorities — if required by applicable law or court order

• Push notification services (Expo/FCM/APNs) — only push tokens for notification delivery

• Map rendering services (used within the App to display surveyor field locations to Management/Admin) — only the location data necessary to render the map

7. Data Retention & Deletion

Survey case data, media files, conveyance/billing records, and reports are retained for a minimum of 7 years in compliance with insurance regulatory requirements. Employee account data is retained for the duration of employment and for 3 years thereafter.

Background location records are retained only as long as needed for coverage and safety review, and are not retained indefinitely. Push notification tokens are deleted upon account deactivation or logout.

Conveyance entries may be permanently deleted by an Admin or Management user using an in-app tool reserved for those roles; every such deletion is recorded in the internal activity history log against the deleting user’s identity, role, and timestamp, and cannot be performed anonymously.

To request deletion of your account or personal data, contact info@akgsurveyor.com or your system administrator. Because this App is an internal employment tool, account and data deletion is handled through your employer/administrator rather than self-service in-app deletion, and is subject to the regulatory retention periods described above.

8. Your Rights

As a user of this App, you have the right to:

• Access the personal data we hold about you

• Request correction of inaccurate personal data

• Request deletion of your account data (subject to legal retention requirements described above)

• Withdraw consent for optional data processing

• File a complaint with a relevant data protection authority

9. Children’s Privacy

This App is intended solely for use by adult employees and authorised personnel of AKG Insurance Surveyor & Loss Assessors Pvt. Ltd. It is not directed at, and we do not knowingly collect personal information from, anyone under the age of 18.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect new features or legal requirements. Material changes will be notified via the App or email, and the “Last Updated” date above will be revised. Continued use of the App after changes constitutes acceptance of the updated policy. The current version of this policy is also always available at www.akgsurveyor.com/privacy-policy.
